ACCOUNTS PAYABLE MANAGER
Responsible for managing the accounts payable function.
· Process checks
· Reports
· Fixed Assets
Check Processing
- Ensure that all invoices and check requests are accurately coded and approved
- Review & Audit A/P Batches do corrections for all of the companies mentioned above.
- Approve A/P Batches,
- Cut checks including commission checks; check runs for all companies.
- Ensure all printed payment checks are properly distributed
- Research phone calls, Past Due Invoices, Appraisal Invoices, if needed.
- Reviewing scanned files, making sure if all scanned daily and checks are in order by numbers for all companies.
- Assign and review work of the A/P team
Manage/review TCL check disbursements
Credit Cards
- Review and audit all credit card charges against submitted expense reports.
- Ensure all charges are coded to appropriate expense type and company
Work with credit card users for clarification or information
Fixed Assets
- Track and depreciate all fixed assets by location and department
- Review the Asset spreadsheets coming from MIS & Facilities along with the invoices for all companies.
- Post and create assets numbers and input all related data
- Fixed Asset invoices, Asset additions & Depreciation for all the companies.
- Balancing all Fixed asset Master with the balance sheet for all companies.
- Work with MIS to get the correct information on PC’s & Printers
- Transfers and Asset Disposals on fully depreciated PC or printers or Tossed.
Work with Facility Department on Fixed Assets for Equipment & phone system.
Loan Insurance
- Ensure receipt of MIP payments
- Process payments by wire transfer to HUD
· Confirmation # for each transactions, send copies to Insuring department to insure the loans.
· On FHA loans down load information from Data Trac on funded loans make sure on Refinance we have MIP credit, on a weekly basis MIP must be paid within 10 days of loans gets funded.
· Forward initial PMI payment to insurers once a month when upon receipt of invoices. Audit review and make sure PMI is in borrower impound account or loan is sold or not.
Issue checks if needed
Year-End
- Prepare1099 Year End Reporting
- Checking the information in the Address Book, mailing address, duplicates Vendor name or Tax Id.
- Accrue A/P for year end
- Help for yearend Audits, Work on Reconciliation Spreadsheets
Calling Vendors for the information
Supervision
- Work planning, prioritization and assignment; establish and monitor accountability for subordinates’ job responsibilities
- Align staff to achieve departmental and company goals and objectives
- Training and team-building; staff development for professional and corporate growth; coaching, mentoring and counseling
- Timely performance management (appraisals, reviewing and approving work; rewards and disciplinary action; conflict resolution)
- Interviewing and hiring decisions; promotions and demotions
- Termination of employees within Company Policies and Practices (reviewed by HR)
- Ensure compliance with Company Policies
Demonstrate and encourage integrity and alignment with Company Vision, Mission and Values
Management
- Meet position’s goals and objectives
- Track, monitor and prepare report on departmental goals and objectives

AA degree in Accounting, or BA is Plus, or equivalent skills and knowledge
c. Prior experience needed:
4-6 years of supervisory experience required
A/P in multi-company coding required
d. How many weeks, months, or years of experience is required to do the job satisfactorily (both on-the-job and prior experience):
4 years’ Experience in Accounting,
4 years Supervisory,
4 years Multi Company A/P
2 years Fixed Assets.
